Description: Type documents, project reports, letters and other often-confidential materials from rough or corrected copy.Edits where necessary.May involve technical terminology. Receive, sort and forward business mail (may be highly confidential) to appropriate personnel.Answer routine mail and/or requests for information on own initiative or as directed. Schedule and coordinate Legal Affairs meetings, teleconferences, and videoconferences. Prepare meeting presentations and materials. Set up and maintain orderly files for Legal Affairs department letters, reports, reference and other materials. Coordinate travel arrangements for the Legal Affairs department.Prepare expense reports and track expenses. Maintain calendars in addition to the department calendar. Set appointments/meetings and advise department personnel of meetings and schedule changes. Receive and place outside phone calls, providing or obtaining information as necessary. Screen calls for their importance and proper referral. Set up document tracking system and ensure the flow of materials is being handled appropriately. Set up and maintain filing systems for the Legal Affairs department. Order and track office supplies, books, publications and periodicals. Qualifications: Three to five years of administrative professional experience. Working knowledge of word processing database software.Prior work experience in a legal department and in the pharmaceutical industry is extremely helpful.The ability to work independently as well as manage a number of diverse projects concurrently is essential.
