Front Desk Clerk Position Summary: This position facilitates the processing of patients in and out of the Midtown clinic and schedules patients for additional testing. Work is performed under the general direction of the Midtown Office Manager. Essential Duties and Responsibilities: § Pulls necessary information from EMR (i.e. co-pay, labs, etc.). § Verifies patient information has been updated within the last 30 days. § Notifies management and staff regarding visitors. § Schedules return appointments, lab and radiology tests. § Pre-certs outside tests and copies/faxes all appropriate documents. § Provides doctors’ excuses as needed. § Keeps track of doctors scheduled out on a calendar. § Maintains e-mail folder. § Explains HIPAA policies and procedures to patients and gets the appropriate forms completed. § Enters HIPAA information into the computer. § Re-schedules in a timely and sensitive manner. § Cross-trains with other front desk positions. § Admits patients to the hospital and precerts. § Calls for ambulance or emergency personnel. § Notifies Director of any problems in a timely manner. § Handles incoming calls for new consults from referring Physicians, Phone Nurses, and Physician Nurses. § Obtains medical records, films and/or slides prior to new patient visit. § Mails out New Patient packets or Video Box. § Provides general assistance to patients as they make requests. § Assists with training and orientation of new employees as assigned. § Respects the dignity and confidentiality of patients. § Maintains a good attendance record and report on time for work. § Maintains a professional attitude and appearance. § Complies with clinic safety policy and procedures. § Possesses good communication skills that lend to a team-oriented work environment. § Attends staff meetings as scheduled. § Interfaces internally with Medical Records, Insurance, Phone Room, Nurses and Physicians daily regarding request for patients’ charts. § Provides new patients with Cancer Care Monitors and instructs them regarding its use. § Performs other duties as assigned. Qualifications/Experience: High school diploma or general education degree (GED); Must have excellent organization and follow-up skills; excellent verbal and written communication skills; excellent problem-solving skills; ability to organize and prioritize work assignments; ability to handle multiple priorities in a fast-paced environment; ability to analyze situations and respond in a timely manner; ability to participate in multi-functional teams; ability to establish and maintain effective working relationships within The West Clinic; must be proficient in computer applications including word processing and e-mail. Work Environment/Physical Demands/Travel: § Typical clinical environment with moderate noise level. § Ability to stand, walk, sit and hand/wrist use, talk, hear, see for extended periods of time. § Ability to read and understand simple instructions, short correspondences, and memos. Ability to write simple reports. Ability to effectively present information one-one-one or small group situations to supervisors, customers, and/or other employees of the company. § Ability to add, subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of US dollars, weight measurement, volume, and distance. § Ability to apply common sense understanding to carry out simple one-or two-step instructions. Ability to deal with routine situations with only occasional or no changes.
